Staff Accountant

Location: Falls Church, VA

Position Summary

The position assists in the accounts payable and general ledger aspects of the financial and accounting activities of CHEMTREC, LLC, a subsidiary of the American Chemistry Council (ACC).  Responsibilities of this position include taking a role in the accounts payable function, preparation of certain month end and year end journal entries, preparation of certain monthly GL account reconciliations, and assisting in yearend financial audit preparation. The position reports directly to the Senior GL Manager, CHEMTREC.

Major Duties and Responsibilities

  • Assists in the monthly and year-end general ledger close processes. 
  • Prepares certain month end and yearend journal entries as prescribed in the recent review of CHEMTREC’s internal controls by O’Connor Consulting. 
  • Performs certain month end and yearend reconciliations of general ledger accounts. 
  • Prepares certain (PBC) schedules and assists in organizing the effort to complete all deliverables required for the annual financial statement audit. 
  • Assists in ensuring compliance with generally accepted accounting principles and regulatory requirements. 
  • Takes a role in the accounts payable process as prescribed in the recent review of CHEMTREC’s internal controls by O’Connor Consulting. 
  • Performs other duties as assigned.

Qualifications/Requirements

Required

  • Bachelor’s degree, and course work in accounting. 
  • 3+ years progressive accounting experience. 
  • Strong MS Excel Skills 
  • Strong written and oral communications skills. 
  • Strong analytical skills. 
  • Ability to cultivate and manage high quality stakeholder relationships. 
  • Ability to work in a team environment and work with other groups, including customer service and IT, within the organization.

Preferred

  • Experience using Microsoft CRM UX 365 
  • Experience using an ERP GL software package such as MS Great Plains and financial reporting software such as Solver.

Customer Service Manager

Position Type: Full Time

Location: Falls Church, VA

Position Summary

The position is responsible for day-to-day management of CHEMTREC’s Customer Service team to include the handling of regular maintenance and updates of CHEMTREC accounts. This includes monitoring call queues, organization, workflows and work load assignments. This position will also help identify and evaluate additional needs of the customer base by monitoring and evaluating customer service processes, protocols, and key performance indicator’s KPI’s to ensure they are aligned with internal and external needs. This is a hybrid position and will report to the Director of Customer Care.

Major Duties and Responsibilities

  • Supervises the daily work activities of all Customer Service Representatives including, recruiting/interviewing candidates, establishing performance objectives, conducting performance reviews, and facilitating employee development.
  • Works with the HR and relevant stakeholders to train staff on guidelines and protocols to ensure the quality delivery of CHEMTREC’s products and services.
  • Conducts weekly staff meetings with Customer Service staff and attends and participates in Account Management meetings.
  • Works with the Account Management team to assist with daily activities and to ensure the proper escalation and de-escalation of accounts is performed and captured correctly.
  • Develops, manages, updates, and enforces internal customer service work policies, procedures, practices, and protocols including those that implement unique customer requirements.
  • Supports CHEMTREC operational strategies by conducting customer service workload and trend analysis, needs assessments, and capacity planning.
  • Evaluates customer service work group efficiencies and, in coordination with relevant internal stakeholders, develops, recommends and manages necessary process improvements as well as assists in the implementation of technology improvements.
  • Manages activities to develop and support continuity of operations plans; collaborating with key stakeholders to prepare staff, identify gaps, monitor readiness, and develop solutions.
  • Develops, manages, and updates key performance indicators identifying efficiencies, areas for improvement, and successes.
  • Performs other duties as assigned.

Qualifications/Requirements

Required

  • Bachelor’s degree.
  • Five years of experience managing customer service functions.
  • Proven experience with database and document management, including data and information retrieval.
  • Proven experience with information technology and how the technology is applied in business.
  • Proficiency in Microsoft office applications, including Microsoft CRM.
  • Proficiency of web-based applications.
  • Excellent analytical, problem solving, organizational and planning skills.
  • Experience in workforce management techniques.
  • Ability to use independent judgment in evaluating situations and to manage and prioritize multiple projects and tasks.
  • Ability to communicate effectively with customers and employees in both written and verbal form.
  • Ability to work independently on a variety of complex matters simultaneously.
  • Ability to work extended business and off-hours as needed and to serve in a 24/7/365 on-call support status.

Preferred 

  • Experience in environmental, health and safety (EHS) systems.
  • Experience working with international customers and/or perspective of condition and cultures beyond the domestic US marketplace.

Marketing Specialist

Position Type: Full Time

Location: Falls Church, VA

Position Summary

The Marketing Specialist supports the marketing team and internal stakeholders in several initiatives including the management and execution of webinars, podcasts, and events, as well as our biannual CHEMTREC International Hazmat Summit. The specialist will be responsible for managing CHEMTREC and TRANSCAER’s social media accounts. This role also helps the graphic designer with ordering promotional materials and marketing collateral for events and customer visits. This position reports directly to the Web and Digital Media Manager.

Major Duties and Responsibilities

  • Provides logistical and hands-on support for live and virtual webinars, meetings, and events (over 50+ per year) 
  • Leads all virtual and in-person event planning, setup, and execution, including the biannual CHEMTREC International Hazmat Summit 
  • Assists Marketing Director with planning and implementation of event strategy that is aligned with CHEMTREC’s overall business strategy 
  • Coordinates ordering, packing, and shipping of event materials to show sites 
  • Assists Graphic Designer in content creation of marketing materials including booth design, programs, promotional materials, brochures, advertisements, signs, passports, fact sheets, pop up banners, etc. 
  • Works with Web and Digital Media Manager to develop event KPIs, create follow up surveys, and measure ROI 
  • Leads social media for CHEMTREC and TRANSCAER’s Twitter, Facebook, Instagram, LinkedIn, YouTube, and Vevo accounts. 
  • Manages the webinar section of CHEMTREC’s Learning Academy Utilizes Microsoft Dynamics CRM to manage event and webinar registration 
  • Assists in developing working relationships with outside vendors and establishing agreements to enhance the webinar and event experience and to generate leads and opportunities 
  • Evaluates podcast opportunities for CHEMTREC and TRANSCAER 
  • Monitor Marketing inbox as needed
  •  Assist Lead Development Manager with lead assignment 
  • Other duties as assigned

Required Qualifications

  • Bachelor’s degree from an accredited university in marketing, events, hospitality, or related major

  • At least 1-3 years of experience in hospitality, event management, food and beverage, sales and marketing, or a comparable degree/experience in event management

  • Attention to detail and accuracy

  • Proficiency with Microsoft suite

  • Strong interpersonal skills and ability to interact with a variety of people

  • Strong administrative skills with the ability to draft communications, coordinate travel arrangements and maintain and order supplies

  • Knowledge of virtual meeting platforms such as Microsoft Teams, Zoom, and GoToWebinar

  • Experience managing Twitter, Facebook, LinkedIn, Instagram, YouTube, and other social media channels 

  • Ability to manage and prioritize multiple projects and tasks.

  • Ability to lift 30 pounds

  • Ability to work some nights and the occasional weekends

  • Ability to travel at least 10% of the year

Preferred Qualifications

  • Experience with MS SharePoint and MS Dynamics CRM

Sales and Business Development Director

Position Type: Full Time

Location: Falls Church, VA

Position Summary

The position is responsible for overseeing all aspects of CHEMTREC’s sales and business development programs.  The position will have specific focus on leads generation, sales and new business development; new business plan development; channel partner development, and other related engagements.  The position will also be responsible for completing sales forecasts and developing and tracking of key process indicators (KPIs) demonstrating effectiveness of strategic plan execution.  The position reports directly to the CHEMTREC Chief Executive.

Primary Duties and Responsibilities

  • Manages all aspects of CHEMTREC new business development efforts, including creation and conversion of sales and marketing leads, developing sales processes, overseeing new customer capture plans, and leading customer segmentation and characterization activities.
  • Develop and execute a comprehensive sales strategy to drive revenue growth and achieve sales targets.
  • Build and manage a high-performing sales team, setting goals and providing coaching and development opportunities to support their success.
  • Oversees the overall work activities of employees within the sales department, including establishing performance objectives, conducting performance reviews, and facilitating employee development for direct reports.
  • Directs sales activities, queue management and lead assignment, and other related activities as required to ensure all sales leads are addressed in a timely manner.  Improves the sales process and address process pinch points to reduce lead and opportunity backlogs.
  • Leads the development and management of sales commission and incentive structures focused on driving growth. Developed the annual commission plans for eligible sales staff.  Runs the monthly, quarterly, and annual commission calculations processes in accordance with CHEMTREC internal control procedures.
  • Tracks, monitors, and reports on CHEMTREC growth initiatives.  Participate in the product innovation and product development processes as appropriate to drive overall CHEMTREC growth consistent with the business’s strategy.
  • Develops and manages sales operating budgets.  Provides input and guidance to the Chief Executive and leadership team on marketing, trade show, and other budgets and programs.
  • Coordinate with the marketing team on:
    • Advertising and promotion activities including print, online, electronic media, and direct mail.
    • Social media and forms and formats for delivering CHEMTREC’s marketing and industry update messages.
  • Analyzes CHEMTREC’s Microsoft Dynamics CRM sales database and dashboards and enhances data tracking to increase sales and other growth initiatives’ performance.
  • Prepares scheduled and periodic sales report showing sales volume, potential sales, and progress toward monthly, quarterly, and annual targets.
  • Communicates with Chief Executive and other CHEMTREC Directors regarding progress and pace on priority initiatives and progress toward annual sales goals.
  • Works with CHEMTREC Financial Operations to understand financial results of efforts and further develop reports and tools to communicate progress.
  • Collaborate with cross-functional teams, including marketing, product development, and customer success, to drive sales success.
  • Oversees and evaluates market research and adjusts sales and marketing strategy to meet changing market and competitive conditions.
  • Monitors and reports on competitor services, sales, and marketing activities.
  • Establishes and maintains relationships with industry influencers and key strategic partners.
  • Establishes and maintains a consistent and professional corporate image throughout all CHEMTREC service lines, promotional materials, marketing collateral, and events.
  • Working with Marketing and the other Directors, manages representation of CHEMTREC at tradeshows and similar events.
  • Meets with key clients, assisting sales representative with maintaining relationships, and negotiating and closing deals.

Qualifications/Requirements

Required

  • Bachelor’s degree in Business, Marketing, or a related field
  • A minimum of 10 years of sales experience, with at least 5 years in a leadership role
  • Willingness to travel as needed to meet with clients and attend industry events
  • Demonstrated knowledge of hazardous materials transportation and understanding of the hazardous materials transportation regulatory scheme.
  • Proven track record of exceeding sales targets and building successful sales teams
  • Knowledge of the hazardous materials industry with a focus on emergency response support, regulatory compliance, and other related areas.
  • Strong problem-solving and decision-making abilities
  • Business development and sales management, marketing management; share of P&L responsibility; forecasting responsibility; KPI and metric development.
  • Ability to cultivate and manage high quality stakeholder relationships.
  • Ability to process complex, technical, verbal and written information for the purposes of establishing strategy, direction and action plans.
  • Strong written and oral communications skills, as well as the ability to give internal and public presentations.
  • Demonstrated expertise as a senior-level leader with demonstrated skills in leading, coaching and mentoring all levels of staff.
  • Ability to build consensus, work in a team environment, and coordinate across multiple groups within a large organization.
  • Open to domestic and international travel as required.

Preferred Qualifications:

  • Masters in Business Administration or similar graduate level program
  • Knowledge of the supply chain industry and experience selling consulting services
