Inside Zone Coverage

Registering for Inside Zone Coverage makes sense for your company if all of your shipments originate from countries in the same zone, and they are delivered to countries within that same zone.

For example, shipments originating from the U.S. (Zone 1) that are delivered to Canada (Zone 1) require Inside Zone Coverage.

Outside Zone Coverage

Outside Zone Coverage makes sense for your company if all shipments originate from countries in the same zone, but they are delivered to countries outside of that initial zone. This service option also includes Inside Zone Coverage when you ship to countries inside your primary zone.

For example, shipments originating from the U.S. (Zone 1) that are delivered to Australia (Zone 8) require Outside Zone Coverage.

Combination of Inside and Outside Zone Coverage

Some companies benefit from a combination of Inside Zone and Outside Zone coverage options when some shipments fall within a single zone, while others cross zone boundaries. CHEMTREC representatives can evaluate your unique situation and help you select the most cost-effective solution.

For example, shipments originating from the U.S. (Zone 1) that are delivered to Canada (Zone 1) require Inside Zone Coverage. But if you also have shipments originating from Brazil (Zone 2) that are delivered to Australia (Zone 8), Outside Zone Coverage is also required.

Global Coverage

Registering for CHEMTREC's Global Coverage makes sense for your company if your shipments originate from countries in multiple zones around the world, and are delivered to countries in multiple zones. Global Coverage has no geographical limitations.

For example, Global Coverage is the best option when you have shipments originating from multiple zones, such as the U.S. (Zone 1), Chile (Zone 2), and Australia (Zone 8), that are delivered across multiple zones, such as Canada (Zone 1), France (Zone 3), South Africa (Zone 6), and South Asia (Zone 9).

One-Time Shipment Registration

This service gives you the right to use CHEMTREC for a single shipment of regulated hazardous materials requiring a 24-hour emergency telephone number.

  • Allows for a single Inside Zone or Outside Zone shipment, valid for up to 14 days (or up to 30 days for Global Coverage)
  • Recommended for organizations that ship one to two times per year
  • Payment, SDS, and chemical shipping details due upon registration

Regional Numbers

CHEMTREC’s regional numbers automatically connect callers to the appropriate language options based on their telephone number’s international country code. Primarily designed for use on transport paperwork, the regional numbers can also be used for supply paperwork, e.g. on Safety Data Sheets, provided that the regional number complies with the local emergency number requirements for each country where the product is placed on the market.

Key Features of New Regional Numbers:

  • Provides access to multiple languages through a single number.
  • Provides native language options based on official/commonly spoken languages according to the caller’s dialing code.
  • Provides fast call connection to interpreters using automatic language recognition.

In-Country Dial Numbers

As part of our coverage options, we provide a network of "In-Country Dial" telephone numbers to our customers. These numbers provide an alternative to CHEMTREC’s primary toll free phone number, which can still be used anywhere around the world.

The In-Country Dial telephone numbers provide familiarity and convenience to the individual who is calling CHEMTREC from outside our call center location in the U.S. The caller will hear a message in the country’s primary language, explaining that they will be connected with an interpreter to assist the communication between the caller and CHEMTREC’s Operations Center.

Why is Registration Critical?

Every day, we receive calls from government inspectors, as well as responsible inter-modal carriers, asking to verify that CHEMTREC has authorized the use of our phone number on shipping documents for chemical transportation.

Using our emergency number without authorization is a violation of many governments’ shipping regulations and CHEMTREC's Terms of Service. Only registered shippers can display the CHEMTREC emergency phone number on their shipping documents.

We encourage members of the regulatory enforcement community to contact us to verify authorization of our phone number on shipping documents.

About the HELP Award

Chemtrec Help Award Logo_New

CHEMTREC® is the world’s leading source of 24/7 call center support and information during hazardous materials incidents. For over 50 years, our engagement with emergency responders around the world has been the engine that drives our success. Considering that relationship, CHEMTREC will award $10,000 each to six fire departments in the United States. The awards are intended to help the fire departments enhance their response capabilities and increase local preparedness to respond to and prepare for hazardous materials incidents.


The 2025 HELP Awards are sponsored by the following companies:

Criteria

The application period for the 2025 award will open on June 1, 2025.


To be eligible to apply for the CHEMTREC® HELP (Hazmat Emergencies Local Preparedness) Award, departments must meet the following criteria:

  • The fire department must be a local or state volunteer, career, or combination fire department. 
  • Be in the United States and legally organized under state law. Tribal entities servicing a tribe recognized by the Bureau of Indian Affairs (BIA) that are chartered pursuant to IRA Section 17 or organized by a tribal government pursuant to a tribal code or resolution are eligible to apply.
  • Demonstrate in the application essay their need to receive the award by describing the equipment, resources, and/or training the department would purchase and/or the training they would attend to increase their response capabilities for hazardous materials incidents, as well explaining the potential hazardous materials incidents that could occur in their community
  • Only one application will be accepted per department. Any subsequent applications received for that department during the award year will be disqualified. Past recipients of the HELP Award must wait five years before reapplying for the award.
  • Departments that receive the award must use the money to increase their department’s hazmat response capabilities and not for any other purpose. The award cannot be redistributed.
  • Departments that receive the award agree that their department name, details from their application essay, and all photos taken during the award presentation may be used in media by CHEMTREC, TRANSCAER, and American Chemistry Council, for the purposes of promoting the award program. The departments who receive the awards also agree to a department visit by CHEMTREC for the award presentation within six months of notification of the award.
     

Selection Process

After the application period ends, an expert panel selected by CHEMTREC will review the applications to assess financial need, anticipated use of funds, community risk and overall eligibility. 
Six fire departments will be selected to each receive $10,000 in funding. Selections are based upon the information provided in the application essay, recommendations of the award panel and the decisions of CHEMTREC, the American Chemistry Council, LyondellBasell, and Dow. The decisions are at the full discretion of the awarding entities and are final.

Our library of more than six million Safety Data Sheets (SDS) supports emergency response for incidents involving all classes of hazardous materials. And now, by registering for CHEMTREC’s SDS Direct service, your employees gain custom, secure, anytime access to your company-specific SDS through a user-friendly SDS web interface and document request hotline. This service, which helps you with workplace compliance, includes SDS library set-up, document indexing and maintenance. Our team of SDS professionals will manage your SDS library and distribute copies to distributors, contractors and customers upon request.

Provide Access to Your SDS Collection

If all of your company's Safety Data Sheets (SDS) are available online, send the URL and instructions for accessing your documents to sds@chemtrec.com. All documents must be available for products you ship and/or manufacture, including consumer/finished products, private label products and raw ingredients. If your website is password-protected, CHEMTREC requires a single user name and password.

Once your website is approved by CHEMTREC, it will be used as the sole source of SDS for products you ship. It is the Registrant's responsibility to notify CHEMTREC if the URL or password to access your documents is ever modified.

Send Your Documents to CHEMTREC

CHEMTREC can upload and maintain your SDS in our document management system for use in the event of an incident involving your company’s products and/or shipments. 

We accept most file types including pdf, doc, rtf, xls, tif, and txt files. Each SDS must be sent as an individual file and the file name cannot contain # ~ % .. & { } + , – — or begin with a space.

CHEMTREC welcomes SDS in foreign languages. If you send us your foreign language documents, please be sure to include an electronic index with the English product/trade name and language of the SDS. 

Due to the volume of submissions CHEMTREC receives and processes, customers who submit more than 100 documents are also required to provide an associated electronic index

CHEMTREC can index large volumes of SDS on your behalf for an additional fee. Please contact Customer Service if you are interested in our SDS Indexing service. 

How to Submit Your SDS

All SDS submissions must include a completed CHEMTREC Document Submission Form. The information you include on this form will help expedite the processing of your submission. Please note: due to the high volume of documents received each day, we are unable to provide individual confirmation of receipt.

  • Email documents to sds@chemtrec.com (5MB limit)
  • Upload via Secure File Transfer Protocol (SFTP) - contact Customer Service to set-up your access to our SFTP servers

Manage Your Own Documents

CHEMTREC offers customers the option to electronically manage their documents directly within our Customer Document Management System (CCDMS). For more information, please contact Customer Service.

Instructions for One-Off Shipments

For a one-off shipment of a product you will only be shipping once and do not want to maintain in your current SDS library, email your SDS to sds@chemtrec.com. Include a completed CHEMTREC Document Submission Form with your document and select the “One-off” option, be sure to include the date of shipment on the form. Documents submitted for one-off shipments will only be maintained in CHEMTREC's database for two weeks after the date of shipment.

Templates for Waste Streams, Lab Specimens, and Radioactive Materials

For shipments such as steady waste streams, lab specimens, and radioactive materials that do not require or have an SDS or profile, you may use one of the following formats:
